Hotels Policy

HOTELS
The Company selects hotels for your stay at locations, which give comfort and value for money. For various reasons, such as reducing the overall traveling time on the coach for the following day, the hotels may be chosen away from the city centre. Unlike other countries, most hotels in Europe do not have air conditioners or fans. Modern facilities such as attached toilets with showers / bathtubs are provided. We cannot guarantee the availability of adjoining rooms / interconnecting rooms / non-smoking room / rooms on the same floor etc. Hotels in Europe may / may not have room service facilities.
The check in time is usually 2 p.m. and check out time is usually 11 a.m. In Australia, the check in time is 12 noon and the check out time is 10 a.m. In certain hotels like Genting Resorts, though the check in time is 2:00 pm, you may have to wait for some hours till the rooms are cleared. The same is subject to change from time to time.
If you seek a change in rooming while on a tour, the same will be subject to availability and you will need to pay any additional charges as may be applicable.
Please note that hotels in Europe can have exceptionally small rooms unlike what you may have experienced in other countries.

Single Accommodation
In case you book on a single occupancy basis, you will have to pay a single room supplement unless another tour participant is willing to share your room. You shall also be liable to pay the single room supplement if earlier having booked on a shared room basis, you later have to take the room on single occupancy basis since your intended room partner has either dropped out of the tour for any reason or since you and / or your room partner are no longer willing to share a room.
Note that the single room supplement will be charged in all cases where a booking on a shared room basis has to be changed to single room basis including the following:

  • Intended room partner was arranged by you.
  • Intended room partner was arranged by us for you.
  • No room partner was found available for You.

Double (Twin) Accomodation
A double room has either a single queen-size bed or two separate beds. If you request for a room with a queen-size bed, the same would be provided subject to availability as most of the hotel rooms in Europe are twin-bedded. In case of non-availability of a room with a queen-size bed, a twin bedded-room would be given.

Triple Accomodation
We recommend a maximum of only three persons in one room. Triple rooms are usually no larger than twin rooms and the third bed is often a rollaway bed or cot placed in a twin room.

Children Accommodation
A child travelling for whom ‘without a bed’ charge has been paid would not be entitled to a separate bed in the hotel. In case ‘with bed’ charge has been paid for the child and you decide not to avail such facility whilst on the tour, you would not be entitled to any refund. In case you decide to seek an extra bed for the child booked on ‘without bed’ basis on the tour, this will be provided subject to availability and you shall be bound to pay any additional amount charged by the concerned hotel directly.

Travel Documents / Visa

Shall be solely your responsibility to hold valid travel documents and statutory clearances, to enable you to travel on the Tour such as passports, visas,providing the valid documents for visa processing, confirmed air-tickets, insurance and medical insurance certificates and other statutory certificates including immigration clearance. In any case, your Passport must be valid for at least six months subsequent to the scheduled departure date of the tour.

As granting or rejecting visas and immigration clearance is the sole prerogative of the concerned sovereign governments, We shall neither be responsible in case of non-granting of such documents nor liable for any delay, denial or other related act/omission or for any loss, expense, damage or cost resulting there from. The position in respect of you cancelling the Tour due to non-availability of travel documents would not change only by virtue of the Client having applied for such documents through the Operator. Even if visas are rejected, our stipulated fees shall be payable. There will be no refund made to you, or any member of your party, if unable to travel due to the said reasons. In such cases, the non-refundable deposit paid by you shall be forfeited and no claim whatsoever shall be entertained for the same.

 

AIRLINES
We shall in no circumstances whatsoever be liable to you or any person travelling with you, for loss of baggage by the airline, failure to provide meal of your choice by the airline, denied boarding or down-gradation due to overbooking or any other reason, failure on the part of the airline to accommodate you despite having confirmed tickets, quality or quantity of meals offered by the airlines, flight delays or rescheduling, flight cancellation, changes of flight schedule or routing, change of airline mentioned at the time of booking etc. In these circumstances, we will not be liable for the injury, loss or inconvenience suffered by you but you will be free to pursue your remedies against the concerned airline.

AIR TICKET COPY ISSUANCE :

We provide the air ticket copy 4 days prior to the tour departure date. 100% flight ticket payment is required to issue the confirmed flight ticket copy. Incase of any payment delay / failure, The air ticket will be cancelled / released automatically and we do not hold any responsibility and air ticket cancellation charges applicable. Air ticket reschedule / cancellation charges will be provided at the time of cancellation request from customer. Cancellation / Rescheduling charges are applicable and our support team will provide you the service charge details at the time cancellation request.

BAGGAGE ON AIRLINE
Airlines have restrictions on the kind of baggage, number and weight of baggage that you can carry and you will need to carefully read and understand the rules and regulations of the airline, in this regard. Incase if we book any flight tickets in low cost carriers such as but not limited to air arabia, air asia, tiger airways, jet star do not offer any free luggage. You are responsible to pay the luggage cost directly to the airlines at the time of boarding. Or We can assist you in adding the extra luggage at an additional cost. Typically, weight restrictions on baggage for Economy Class is 20 Kg, for Business Class 30 kg and for First Class is 40 kg and one hand bag (cabin luggage) not exceeding 7 kg per person except for flights to USA and Canada, where the passengers are permitted to carry two pieces of checked-in baggage and one hand bag. In the case of low cost carriers are used by the Company during the tour, the permitted baggage allowance may be lower than what is mentioned above

Baggage is not included for internal flights in USA. One needs to pay for every piece of baggage checked in. The charges vary from US $ 25 and US $ 35 per bag. Please check with our sales staff for correct details.
Please note that every airline has a different set of rules and regulations regarding the weight restrictions and furthermore, airlines keep changing the rules quite frequently. Hence, you are requested to please check the updated baggage rules of the individual airlines, with whom the ticket is booked.
We are not liable / responsible, in any manner, if you are unable to carry any baggage or if you have to pay any extracharges due to restrictions imposed by the airline. You shall be liable to pay all such charges directly to the airline. Also, we are not liable / responsible for any loss or damage to baggage while it is in the custody of the airline. We do not hold any responsibility such as but not limited to missing a flight / luggage / not able to board into flight due the delay in transfer to the airport for any of the reasons such as but not limited to traffic jam or delay in vehicle pickup time or delay in picking up other customer or any natural reason and etc..,

AIRLINE DATE CHANGE BEFORE DEPARTURE
If you wish to travel in advance or return at a later date after the tour ends, then you must pay the applicable difference between the group airfare within the package holiday tour cost and the market airfare for the changed sector. The same will be quoted by us to you on your request. Over and above this you will also be required to pay an ‘Airline Seat Rebooking and Reservation Fee’ of Rs. 2,500/- or amount as applicable per person per sector, per change depending on the airline (subject to availability of seats and ticket validity).
Please note that you will not be able to avail of the group transfers and accordingly you will have to make your own way to meet up with the group on arrival and / or to your next destination when your tour ends. We shall not be liable to refund any amount to you in this regard. . Terms & Conditions shall apply.

AIRLINE DATE CHANGE AFTER DEPARTURE
It is absolutely necessary to have your return air seats to India confirmed prior to your departure from India.
If you wish to change the date of your return journey after departure from India, you will have to pay a “Change in Reservation Fee” if any, directly to the airline, subject to availability of seats in the same booking class. This fee may range between USD 75 to USD 200 or more per person and we will not be responsible for the same.

AIRLINE CONFIRMATION AND RE-CONFIRMATION
Though you may receive a confirmed air ticket for a particular sector, airlines often overbook seats, due to which the airline may offload even confirmed passengers and may accommodate them on a subsequent flight. We will not be responsible / liable for any such offloading nor for any consequence of such offloading including delay, inconvenience or loss of tour services. As you are booked on a group fare ticket, please note that seat allotment will be made only when you physically report at the airport check in counter. You are advised to report at the airport check in counter at least 3 to 4 hours prior to the departure time. Seat allocation is a matter of airlines discretion and availability of seats is not in the control of  OrangeTrips.
Hence OrangeTrips shall not be held responsible if you do not get seats together or do not get your preferred seats. Please note that in case you are returning on a later date after the tour ends, the responsibility / liability to re-confirm air tickets 72 hours prior to the departure would be solely yours.

 

Forfeiture Of Deposits

We shall be within our rights to forfeit the non- refundable interest free deposit paid by you. In the event you cancel the booking, or on failure on your part to adhere to the tour payment schedule as informed in the documentation Check List, or in the event the visa of any country is not granted or you are unable to travel on the tour booked due to any reason whatsoever, including medical ground or sickness, the non-refundable interest free deposits shall stand forfeited, and the scale of cancellation set-out in the How To Book section of the brochure shall be applicable and binding.Please be advised that these are the sole and complete terms and conditions governing the tour operations, supplemented only by the User Agreement. No employees of our Company or our agents have the authority to amend, modify or change these conditions, and you are advised to rely on the terms “as is”. BookMyGo or OrangeTrips reserves the right to change or modify these Terms and Conditions at any time without notice.

General Terms

These terms and conditions are applicable when you purchase any service such as but not limited to flight tickets, Hotel room bookings, Bust tickets, Car rentals, Train ticket bookings, Tour our holiday packages in India or internation & etc.., through our website (bookmygo.com or orangetrips.com ) or our company tour executive or employees. We accept responsibility for ensuring that your travel arrangements as per the the inclusion such as Hotel room booking, Car rental arrangements, Bus ticket booking, Sightseeing arrangements, Meals arrangements which you book with us, are supplied as represented and promised to you. If any parts of your travel arrangements are not provided as promised, due to the fault of our employees, we will pay you appropriate compensation if this has affected the enjoyment of your travel arrangements.Hotel rooms, flight tickets, train tickets, car rentals are subject to the availability at the time of booking(paying your booking confirmation amount).

Since Airlines tickets prices changes at no periodic intervals, the flight ticket prices will be calculated at the time of booking the ticket or packages. In case of non-availability in any hotel rooms or flight tickets, we do our level best to provide the similar category hotel rooms or flight tickets. If the new hotel price is less than the quoted price then the difference will be refunded to customer.. If the difference is more than the committed amount then its customer’s responsibility to take care of the extra charges. Our liability in all cases shall be limited to the costs of your travel arrangements for the affected segment of the product or service such as hotel room booking, car rental service, bus ticket booking & etc..,.

The rates are calculated with best available prices from suppliers These rates may vary on daily basis.The hotels and services as mentioned in the itinerary are subject to confirmation.Rates may change in case of any changes in hotel, transport cost, government taxes or entrance fees.Transportation is provided, based on users choice and number of travelers, by small sized car , medium sized car , large car or Multi utility vehicle as the case may be. The type of vehicle suggested in each category is indicative and depends on physical availability, in case of non availability similar category vehicle will be provided.If you have a problem during your holiday, PLEASE INFORM THE RELEVANT SUPPLIER, (e.g. your hotelier, transporter e.t.c.) and/or our representative IMMEDIATELY who will endeavor to put things right. If your complaint is not resolved locally, please follow this up within 28 days of your return home by writing to us, giving your booking reference and all other relevant information. However, please be advised that while we are happy to assist you in your redressed of your complaint, if any, we will be able to extend only our best efforts in managing/coordinating your complaint with the respective service provider.

All third party service providers are independent contractors who at no time are under our control or supervision. BookMyGo or OrangeTrips reserves the right of rescheduling the sequence of activities and sightseeing points as and when deemed necessary due to activity timings or to suit the flow of itinerary.We do not accept any responsibility for any third party services or service providers, like hotels, airlines, transport etc. For example, travel delays are the responsibility of the transporters and inefficient hospitality is the responsibility of the hotels.We are only your tour operator and at no time do we act as managers for your respective responsibilities and personal obligations. We are therefore not responsible for your acts, misdemeanor, omissions and neither are we responsible for managing any of your personal affairs; for example, we are not responsible for ensuring the safety of your personal belongings, travel documents, etc. at any time before the commencement of the tour or after it or during the tour. orangetrips.com is not responsible if the hotel, transport, airlines employees behave rudely.It will be your responsibility to purchase any sort of holiday insurance cover and we are not responsible for the same.A non-refundable booking deposit of 30% of the tour package is required at the time of booking. In case of some hotels, activities and in peak season the booking deposit can be more as hotels/ activities confirm bookings against higher deposit full payment.The balance is due minimum 40 days in advance of the departure date.We can NOT guarantee for your booking in case of any delay in the payment. If you are making the balance payment online through NEFT / RTGS or Credit Card then it is your (customer) responsibility to send us the complete transaction details to validate and verify your transaction. We do not hold any responsibility incase if you have not provided the proper transaction details before the due date. The booking will be cancelled automatically due to the non-payment or not sending the transaction details. We are not responsible in case of any problem in the service due to the delay in payment side.

Incase if you choose/Opt to travel by SIC or Shared vehicle then the pickup & drop privided by our team / our partner’s team is tentative and its subject to change without prior notification due to various reasons and we do not hold any responsibility incase of any delay due to any reasons. we do not hold responsibility for any damage result in delay since the vehicle is shared and not a private transfers. SIC / Shared vehicle delay may varies from 1 Hour to 5 Hours depends on various reasons. This is applicable for all the torus, transfers & activities opted in SIC / Shared vehicle basis.

In case of cash payment of INR 49000/- or above, the Pan card copy of the client is required.We cannot and do not guarantee the exactness of any service that may be provided to you. For instance, photographs of the interiors of the hotel rooms posted on our website have been sourced from the respective Hotel management the visual appeal of a room selected by you cannot and is not guaranteed by us. Similarly, while we assure you of enjoyable holidays, we cannot and do not guarantee or represent that such tour will be as per your mental perception, imagination or thought about such tours. In case the hotel rooms are not available once you made the payment, we would arrange the similar kind of hotel.

BookMyGo or OrangeTrips reserves the right to change or modify these Terms and Conditions at any time without notice. If any Customer requests such as but not limited to Cancellation or Rescheduling will be addressed our Office working hours Strictly from Monday to Friday(10:00 am to 6:00 pm).We can NOT guarantee or offer any services beyond our office hours. All the requests from our customers beyond our office hours will be considered during our official working hours.The same request service also depends on our Supplier in other countries working hours . In case of any unavailability of our supplier or partner outside india, We can not offer any prompt response and the response or action or response for our customer’s service request resolution is purely depends on supplier’s availability for the support.Also we can not guarantee for any services or resolution for our customer/your enquirty/request during unavailability cases such as but not limited to week holidays in the respective country, office or supplier unavailability due to riot,strike or etc..,

Any Itinerary designed on the website or provided by our tour executive or any of our company team member is only a proposed holiday outline. We are not holding any confirmed hotel reservations for your travel. The same is subject to availability at the time of booking. The quotation might change based on actual availability of the service. In case there is any change in price the same will be communicated to yourself and only after your confirmation, we will proceed further. There will be no reduction for un-utilized services.We are not responsible if your travel plan is affected or cancelled or not enjoyable by any of the natural disasters such as but no limited to Tsunami, Earthquake, Cyclone, storm, rain or etc.., or any one of the service/product affects other plans such as but not limited to airlines/flight delay, missing/Cancelling/Rescheduling flights due to traffic, any mechanical problem in the car, or not reaching airport/bus stand/railway station due to but not limited to traffic, snow fall, rain or road blockage due to but not limited to political meetings, strikes, riots, social activities. Any changes in the tour plan is strictly depends on the supplier like, Airlines, Car rental company, Hotels, Sightseeing operators, Bus operators & etc..,

We are arranging your trip with our suppliers/tour operators in remote places. In case of any problems such as but not limited to your tour/trip is not confirmed we will try to co-ordinate and fix the problem. In case if we are not able to fix the problem, we will refund your money. At anytime the refundable amount to you shall restricted to total cost of particular affected segment/service. Not on the entire trip cost. This refund does not include any of the utilized services like Air tickets, Hotel stay, Sightseeing’s by SIC or car. Surcharges may be applicable over and above the holiday price for the requested period. The same will be advised at the time of booking or prior to confirmations. In case of non-availability of hotel rooms, we will arrange a similar category hotel rooms.

OrangeTrips has the rights to cancel any free offers / free items/ free products / FAM trips offered along with package, discussion, during events or in any such manner without prior notice. The customer/ agents do not have any rights to claim /encash / demand anything towards the free stuff offered by orangetrips company. The fam trip is organised for our travel agents on free of cost basis and we have a rights to cancel / modify the fam trips offered to our agents without prior notice.

Refund Policy

All the bookings done through Orangetrips / Bookmygo are subject to cancellation policy and the cancellation charges varies from place to place & hotel to hotel. OrangeTrips will issue the booking confirmation voucher which will have the details of the cancellation charges & policy. If any customer cancels the booking, The amount after the cancellation charges will be refunded to their bank account within 14 working days if it is a domestic trip & the amount will be refunded to customer’s bank account within 14 working days.If the booking amount is made by credit card then the credit card transaction charges of 2% on the paid amount will be borne by the customer and this will be added on top of the cancellation charges.Any free/complimentary services or products are non-refundable/not-encashable if we are not able to provide.

Amendment / Cancellation

OrangeTrips cancellation policy is very much customer friendly compared to our competitors.

AMENDMENT FEE
In case of an amendment / cancellation, any new arrangements will be regarded as an entirely new booking and will be subject to availability and all requests must be made and then confirmed in writing and the Company reserves the right to make a charge of INR 1000 each time a change or amendment is made to a confirmed booking at the Client’s request. Please note that in case the amendment request is made within the cancellation period, cancellation charges will also apply as if cancellation was effected on the day the request for amendment is made. The cancellation charges will be in addition to the amendment fee. Terms & Conditions apply.

After confirmation of services, if you wish to change your travel arrangements in any way, for example your chosen departure date or accommodation, we will do our utmost to make these changes but it may not always be possible. Any request for changes to be made must be in writing from the person who made the booking. All cost incurred due to amendment will be borne by yourself.Any Requests for any changes or amendments by phone,sms will NOT be considered until we get a written communication from customer who booked the package. We request you to email to support@orangetrips.com incase of any changes in the booking or cancellation.

Cancellation Charges :

Cancellation done from the booking date thirty days prior to the departure date, charges are thirty percent of the package cost

Cancellation done from thirty days to fifteen days prior to the departure date, charges are sixty percent of the package cost

Cancellation done fifteen days to seven days prior to departure date, charges are seventy five percent of the packages cost

Cancellation done within seven  days of the tour start date. No refund.

No show. No refund. Rs.3,500 as a cancellation / rescheduling service charges are applicable on top of the cancellation policy mentioned above. In case of any date change / rescheduling or changes in the booking, The difference of the package amount applicable. cancellation charges are applicable for date change, amendment in the booking such as but not limited to changing the resort hotel / room , date, place & etc.,airline cancellation/rescheduling charges are applicable as per the airline policy.This varies from airlines to airlines.
